MavBridge™ for Service Bureau and Lockbox Operations
Service bureaus doing payment processing face a unique set of challenges. High variability in the payment types received can make system setup an ongoing headache. Client commitments can create the need to interface with a range of upstream and downstream systems. And fluctuations in daily volume can make it difficult to manage resources so that targets are met.
Flexible Solutions to Meet Real-World Challenges
Recently, Mavro Imaging implemented a series of upgrades at a service bureau with several locations throughout the US. The successes achieved at this bureau serve to illustrate just what Mavro can do to improve the operations of companies engaged in this type of business.
At one bureau location, management wanted to import images from their scanners and from a fax server into their FileNet system. Mavro was able to meet this need by using the capabilities of the MavBridge™ Server software included in our MavBridge™ Software Suite. MavBridge™ Server allows a payment processing system to seamlessly import data from virtually any upstream source such as scanners, faxes, or databases. It also supports releasing data to virtually any downstream destination such as databases or financial accounting systems.
Optimized Systems Yield Immediate ROI
At a second bureau location, a client's incoming mail included several intermixed types of payments. Using a time consuming manual procedure, the payments were sorted by type before they were run through document scanners. To streamline this process, Mavro implemented several modules from the MavBridge™ Software Suite. With these modules in place, the mail could be scanned intermixed, without the need for time consuming sorting procedures. Mavro software automatically characterizes the documents in each transaction in the unstructured batches and creates structured "Virtual Batches" containing transactions of like type. The virtual batches are then passed on to the payment processing software. An integral part of this success was the Mavro Image Studio software used to set up the different document types within the system so that they could be automatically characterized. With Image Studio software, changes to the document setup can be made quickly if the document layout changes, and new document setups can be quickly added when needed. This can be very beneficial to a service bureau site with frequently changing client requirements.
At several bureau locations, Mavro installed the Statistics module from our MavBridge™ Workflow Monitor software. With statistics, managers can view volume, throughput, and scanning time information. They can also get other detailed information such as complete batch listings and jobs processed, and they can produce comprehensive reports that facilitate accurate internal planning, forecasting, and client billing. Managers get exactly the information they need to evaluate operator performance and to measure the effectiveness of productivity improvements.
